The basis of your contract with us is these Terms and Conditions, as well as our Privacy Policy, Codes of Conduct and any other written information we brought to your attention when we confirmed your enrolment (“booking”). Please read them carefully as they outline our respective rights and responsibilities. The first specified person on the booking, as well as all persons on whose behalf a booking is made or any other person to whom a booking is added or transferred, are referred to as “you” and “your” in these Terms and Conditions. 

Please note that your contract will be determined by the service you book with us.

All summer school bookings are made with We Speak Science Ltd (“WSS”), company number 12698084 with registered address at 48 Lavender Avenue, Worcester Park, KT4 8RR

All online Course bookings are made with We Speak Science Services Ltd, company number 13303414 with registered address at 48 Lavender Avenue, Worcester Park, KT4 8RR,  trading name We Speak Science (“WSS”). Neither ISS nor IE are affiliated with Cambridge University or its constituent colleges.

By making a reservation, the first stated person agrees on behalf of all other individuals listed, and if the reservation is for a child under the age of 18, the person with parental responsibility agrees on behalf of that child that:

  1. He/she has read and understands these Terms and Conditions and agrees to be bound by them;
  2. He/she consents to our use of personal data in accordance with our Privacy Policy and is authorised to disclose personal information to us on behalf of all persons named on the booking, including special categories of data (such as information on health conditions or disabilities and dietary requirements) where applicable.
  3. He/she accepts financial responsibility for payment of the booking on behalf of all persons detailed on the booking.
  1. Participation/ Enrolment confirmation

2.1 After enrolling in the chosen Course and paying the booking  deposit fee listed in clause 3 below,  WSS will send you an enrolment confirmation in the selected Course (hereafter referred to as “the Course”). When we send the enrolment confirmation to the first name person on the booking, or the person with parental responsibility if the booking involves a child under the age of 18, a contractual contract between you and us is established.

2.2 The enrolment confirmation is accompanied by an invoice alerting the student of the due Course fees, as well as the payment deadline and student number.

  1. Booking Deposit 

3.1 A booking deposit fee is required in order to confirm a booking on the Course.

3.2 The non-refundable booking deposit fee will be communicated to you at the time of booking.

  1. Balance Payments

4.1 The price list for the Course in effect at the time of enrolment is an integral part of the contract. Please refer to www.wespeakscience/education or the total Course fee.

4.2 According to the provisions of the invoice, the Course fee is required and payable in full. The payment date is the day on which the funds are credited to the IE or ISS account specified in the enrollment confirmation. The name of the Course Student must be written on the money transfer.

4.3 You are accountable for all bank fees associated with the payment of the Course fee.

4.4 We reserve the right to treat the booking as cancelled if we do not receive full payment of the Course fees by the due date, and the student will no longer be entitled to the Courses booked.

4.5 There is no claim to repayment of Course fees in the event of non-attendance at the booked Course, late arrival, early departure, or withdrawal from a Course, or any other absences (e.g., due to illness). Please review clause 11 for information on insurance requirements.

4.6 We reserve the right to amend our Course fees at any time. We also reserve the right to correct any pricing inaccuracies, both advertised and confirmed. We will make every effort to provide you with reasonable notice of any such changes, but you must check the price of your chosen Course when making your reservation.

4.7 Without our prior written approval, it is not possible to combine discount codes. Discount codes, scholarships, and/or voucher codes, for example, cannot be used in conjunction with one another. Per enrolment, only one code may be used. Only the highest value discount code will be approved if several discount codes are applied.

4.8 We may consent to install payments for balance payments at our sole discretion. For further details, please contact us.

  1. Accuracy

We endeavour to ensure that all the information we publish regarding the Course content, general information and prices, both on our website and in any advertising material we publish, is accurate. However, occasionally, changes and errors do occur from time to time, and we reserve the right to correct those details in such circumstances. Before making a booking, you must check the Course pricing and any other pertinent information.

  1. Course Postponement

In extraordinary circumstances, you may be able to postpone your Course and transfer it to a later date. This is contingent on you gaining our written permission and paying a postponement fee, which will be notified to you upon receipt of your postponement request.

  1. Cancellation by You

7.1 You have the option to cancel your Course booking if the following conditions are met.

  1. a) All cancellations must be made in writing and take effect from the date we receive such notice.
  2. b) All deposit payments are final and under no circumstances will the £695.00 deposit be refunded.
  3. c) If you discontinue your Course before the start date, the remainder of your Course fees, less the deposit amount, will be reimbursed proportionally as shown in the table below:

45-89 days = 10%

0-44 days = 0%

7.2 All cancellations must be strictly in writing and addressed to the contact information mentioned below via email or postal mail. Any cancellation must contain the student’s name, Course dates, and reason for cancellation (along with any other information we should be made aware of) and shall be effective upon the date of actual receipt by us.

7.3 If the student is unable to complete the Course for any reason whatsoever, then no refunds of any nature will be applicable unless the cancellation is in accordance with this clause 7.

7.4 When completing a cancellation, we reserve the right to charge a £95 cancellation fee to cover transaction and administrative costs.

  1. Cancellation and Changes by Us

8.1 For any reason, we reserve the right to cancel and/or change a Course at any time. If a Course is cancelled, you will receive a full refund of any fees paid to us. We regret that we will not be able to cover any costs or losses incurred as a result of a change or cancellation. Please keep this in mind while making other Course-related commitments, such as airline, hotel, and car reservations. In the event of a cancellation, we will make every attempt to notify you as soon as possible.

8.2 On rare occasions, we may be compelled to reschedule or cancel your Course due to Events Outside Our Control (see clause 17), in which case we will offer you alternatives, such as a postponement of your booking or a full refund of all fees paid to us.

If this occurs, we regret that we will not be able to compensate you or cover any expenditures or expenses you may suffer as a result.

 

  1. Course Rules

9.1 All students must show respect at all times to fellow students and members of our staff. The Course rules outlined below and found here  are designed to ensure that all the students and our staff are able to enjoy the Course while remaining safe and free of any unpleasant, intimidating, or confrontational behaviour. Any student who persistently violates the Course rules, breaks the law, or engages in hostile, intimidating, or racist behaviour toward another student or member of the faculty will be dismissed from the Course immediately. Due to a violation of the Course regulations, no refunds will be given. 

9.1.9 Students who are discovered to be giving unwanted attention or communication to other students and staff after the other person has stated that they do not wish any further attention should not pursue any more attempts at contact. Continued attempts may be viewed as stalking, bullying, or harassment, and the pursuer may face legal consequences.

  1. Our Responsibilities for your booking

(1) We have a duty to either select the suppliers of the services that make up your booking with us with reasonable skill and care (where we use the services of third party suppliers to provide your booking) or to provide the services you have booked with reasonable skill and care (where we use the services of third party suppliers to provide your booking) (where we are performing those services). Except in circumstances where it is proven that we have breached that duty and caused you harm, we have no liability to you.

(2) We will not be responsible or pay you compensation for any injury, illness, death, loss, damage, expense, cost, or other claim of any description if it results from:

  1. the act(s) and/or omission(s) of the person(s) affected; or
  2. the act(s) and/or omission(s) of a third party unconnected with the provision of the services contracted for and which were unforeseeable or unavoidable; or
  3. unusual or unanticipated circumstances beyond our control or that of our supplier(s), the results of which could not have been avoided even if all reasonable precautions had been taken; or 
  4. an event which neither ourselves nor suppliers could not, even with all due care, have foreseen or forestalled.

(3) It is a condition of our acceptance of liability under this clause that you notify any claim to ourselves and our supplier(s) of any claim in strict accordance with the complaints procedure outlined in these Terms and Conditions.

(4) Where any payment is made, the person(s) receiving it (and their parent or guardian if under the age of 18) must also assign to us or our insurers any rights they may have to pursue any third party and must provide ourselves and our insurers with all assistance we may reasonably require.

(5) Please note that  we cannot accept any liability for any damage, loss of expense or other sum(s) of any description: (a) that we could not have foreseen you would suffer or incur if we breached our contract with you based on the information you provided to us prior to our accepting it: or (b) that relates to any business.

(6) We will not be held liable for services or facilities that are not included in your booking or are not advertised in our marketing materials or on our website. Any excursion you book  whilst attending a summer school, for example, or any service or facility that any other supplier agrees to provide for you.

  1. Insurance

11.1 Insurance is included in the Course fees for all students attending the summer school. For full details of the insurance policy, please visit: https://www.wss.education/programme-insurance/.

11.2 Please note that  students may be charged for damages to property belonging to us, the host venue, or that of another student/staff member. If the insurance policy included in the Course fees does not cover these damages, the student may be required to pay for the costs.

11.3 If a student is dissatisfied with the insurance coverage supplied by us, they are free to obtain additional coverage prior to attending the Course.

11.4 All EU nationals are required to bring valid documentation to avail of the free medical benefits available to EU nationals through the NHS.

11.5 You must be satisfied that your insurance adequately covers all of your personal requirements, such as pre-existing medical conditions, cancellation fees, medical bills, and cancellation in the event of an accident or illness. If you book a Course without proper insurance, we will not be liable for any damages, regardless of how they occur, for which insurance cover would otherwise be available.

  1. Events Beyond Our Control

We will not be liable or compensate you if our contractual obligations to you are affected by Events Beyond Our Control, unless otherwise indicated in these Terms and Conditions. This term refers to any occurrence beyond our or our supplier’s control, the consequences of which could not have been avoided even if all reasonable precautions had been taken. Examples include warfare and acts of terrorism (and threat thereof), civil strife, significant risks to human health such as the outbreak of serious disease at the travel destination, epidemics or pandemics (including, but not limited to the ongoing effects of Covid-19 or any new strain of the coronavirus), or natural disasters such as floods, earthquakes or weather conditions, the act of any government or other national or local authority including any port or river authorities, industrial dispute, labour strikes, lock closure, natural or nuclear disaster, fire, chemical or biological disaster, unavoidable technical problems with transport, traffic congestion/restrictions and all similar events out of our or the supplier(s) concerned’s control.

  1. Further Information

13.1 We make no guarantee of any specific results from the use of the Course.

13.2 No part of the Course is intended to constitute advice, and the content of the Course should not be relied upon when making any decisions or taking any action of any kind.

13.3 Any information provided as part of the Course is not intended for commercial use. We make no assurance or warranty that the Course or any of its content is suitable for commercial situations or that it contains accurate data and/or advice.

  1. Applicable Law

The laws of England govern these Terms and Conditions and all legal relations between us, and we both agree that the Courts of England and Wales have exclusive jurisdiction over any dispute, claim or other matter which may arise between us (unless you live in Scotland or Northern Ireland, in which case you can bring proceedings in your local court under Scottish or Northern Irish law, as applicable). 

  1. Complaints Procedure

We are committed to maintaining an effective complaint procedure because we recognise that real complaints may arise from time to time from individual students. We recognise that complaints can teach us valuable insights about how to enhance the quality and effectiveness of our services. Complaints must be made in writing to  admin@wespeakscience.education   and will be recorded, along with any action taken in regard to the specific complaint or more generally to avoid a recurrence of the difficulty. Anonymous summary management reports of complaints will be evaluated from time to time.   1. Display of the Agreement

At all times, a copy of these Terms and Conditions will be available on our website.

  1. Promotional Materials

Students may be asked to participate in promotional activities such as videos, pictures, brochures, newsletters, website pages, and other forms of marketing. For further information, please see our Privacy Policy.

Without our written authorization, the Student is not permitted to make any statements or interviews to the press or any third parties about the Course, IE or ISS, or any employee, member, or agent of IE or ISS, during the Course or at any time thereafter.

  1. Value Added Tax (Vat)

Programmes are exempt from Value Added Tax under item 1 of Group 6 of Schedule 9 of the VAT Act 1994. As a result, Value Added Tax is not included in the course fees and cannot be deducted.

  1. Covid-19

These Terms and conditions must be read and accepted in line with our Coronavirus Policy page.

We reserve the right to make modest changes to the Coronavirus Policy in response to changes in official government or accrediting body recommendations.

Summer School Only (additional terms):

  1. Campus

21.1 Unless otherwise specified by us prior to the start of the Course, the Course will take place on the Campus.

21.2 The Student agrees to comply with any rules and regulations in place at the Campus including the Conduct Rules found here.

  1. Accommodation

22.1 On request, we can arrange for third-party accommodations for a rental fee. Any request for the booking of accommodation must be indicated at the time of enrollment. It is not possible to view the accommodation ahead of time.

22.2 The accommodation is rented only on a Course-by-Course basis. The published arrival date is the date for moving into the accommodation, and the published departure date is the date for moving out.

22.3 During their stay, the student is responsible for taking reasonable care of the accommodation and keeping it clean. On departure, the accommodation must be left in a clean and tidy state.

22.4 Any breach of the regulations of the third-party accommodation provider may result in the cancellation of your booking. 

  1. Rules 

23.1 All meals, classes, and planned activities and excursions must be attended by students.

23.2  The student shall be held responsible for any damage to property, equipment, or rooms.

23.3 Gratuitous or wilful damage to college property, public property or other students’ property will result in dismissal from the Course.

23.4 Students of any age who consume or possess alcohol are not authorised and will be dismissed from the Course.

23.5 Drug use or possession will result in immediate dismissal from the Course.

23.6 Racist or intimidating behaviour directed towards another student or member of the staff will result in dismissal from the Course.

23.7 During all lessons and scheduled events, personal mobile phones must be turned off.

23.8 Smoking is strictly prohibited.

  1. Visas

It is the student’s obligation, when applicable, to ensure that they have the necessary visa papers to study in the United Kingdom for the duration of the Course dates, as well as the necessary paperwork to satisfy all UK entrance and residence requirements. If the student fails to get the requisite visa, residency, or travel papers, or fails to meet any other conditions in order to attend the Course, no refund will be issued. We will not be held liable if you are unable to travel or incur any other loss as a result of your failure to comply with any passport, visa, immigration, or health criteria. You agree to reimburse us for any penalties or other losses incurred as a result of your failure to comply with any passport, visa, immigration, or health-related requirements.

Coronavirus (COVID-19)

The global coronavirus pandemic has created an unprecedented situation, and our thoughts are with our participants and their families during this difficult time. We hope you are all safe and healthy and taking care of those around you.     At present, We Speak Science Education remains fully operational, and the summer programmes are proceeding as planned. We are working closely with our host colleges to keep all participants and staff as safe as possible while adhering to official UK advice and regulations.

We continue to accept enrolments and look forward to welcoming all our participants this summer to Cambridge, Oxford, and London.
